Epiq Delivers Managed Services for Large Energy Company

The Challenge

A multinational, Fortune 500 energy company made plans to buy and install new in-house eDiscovery software in a planned transition away f rom their legacy eDiscovery processing and hosting environment. The client was using a large, legacy in-house eDiscovery processing and hosting environment to support document reviews and productions managed by Epiq and outside counsel review teams.

Some of the active repositories were more than 10 years old--maintained for periodic but ongoing productions. Their litigation team was very concerned about the risk of moving their active cases and repositories to a new software platform, especially if the process meant not preserving production histories and editable redactions.

They also required that their existing litigation support team continue managing all their own cases, f rom data processing and loading through final production.To ensure conformance to their requirements, our client required a proof-of-concept demonstration of data migration capabilities. This occurred during a period of financial stress for our client, driven by a rapid reduction in the market price for their products.

The Solution

Epiq proposed an alternative subscribed service incorporating a Epiq-hosted solution for private, self-service access to a Relativity environment. Epiq assembled a cross-functional team of project managers, technical specialists and software engineering resources to design and implement our solution. The team successfully demonstrated our data migration strategy; complete with preservation of document text and metadata, production histories and redactions. Following the successful proof-of-concept, the client executed a managed service with Epiq that includes a hosted, self-service Relativity environment for the private use of the client’s legal team and their outside counsel. The commercial agreement offers a very predictable annual subscription for a comprehensive package of eDiscovery support services that reduces budget variations typical of transactional engagements.

Execution

During program implementation, Epiq successfully moved 187 review and repository databases to Relativity during the five-month migration project. These databases totaled five terabytes and included more than 4.6 million records, 33 million images, and 1 million native files. To preserve production history and support future productions, Epiq transferred more than 440 productions and 102,000 redactions, transformed to a Relativity-supported format.

In the same period, Epiq deployed self-service capabilities for loading and exporting data and provisioned Relativity processing for self-service use by the client’s litigation support staff. The Epiq implementation team worked collaboratively with the client to translate existing practice standards to the new Relativity environment, creating a comprehensive eDiscovery “playbook” for all new matters.

The Results

The cost saving realized by outsourcing support for the technology platform – thereby avoiding capital expenses and high ongoing support costs – turned into a major benefit for the client given the significant downturn in their market.

In a post-implementation survey conducted on behalf of Epiq by a third party, the client awarded Epiq a 10 out of 10 satisfaction score.
